Working to meet the health and nutritional needs of women, children and families with information, education, and quality care, MFHS is currently seeking a full time Facilities and Accounts Payable Assistant for our Admin location.
Job Summary:
The Facilities/Accounts Payable Assistant performs a variety of specialized fiscal functions, prepares supporting documentation and reports with principal focus on facilities, equipment maintenance and insurance functions.
ESSENTIAL DUTIES AND RESPONSIBILITIES, include the following. Other duties may be assigned.
- Process drug and medical orders for agency providers while analyzing competitive pricing. Prepare and distribute order forms, order stock, interact with vendors, fulfill medical supply orders, including site emergency needs. Manage return of expired/outdated drug supplies and maintains records relating to transactions.
- Assist in updating the physical inventory of all sites by means of an automated system, responsible for all related reports and documentation. Maintain site equipment and assist with utility and site maintenance issues.
- Compile data and generate specific reports and other reports as directed.
- Process Space and Client Service-related Accounts Payable; ensure required documentation and signatures are in place before accounts payable/purchase orders are processed for payment; interact with originator when necessary.
- Primary backup to Accounts Payable; assist with data entry for invoice processing, payment authorizations and accounts payable check processing.
- Arrange for agency car rentals for staff.
- Act as permanent back-up for processing outgoing mail.
- Promote and contribute to organizational and programmatic goals of MFHS.
Other duties:
- Maintain appropriate vehicle lists; obtain and distribute parking tags.
- Assist other Fiscal Divisions-Accounting/Purchasing support staff in the completion of their essential duties as appropriate.
- Filing for the Fiscal Department.
- Accept and distribute fiscal mail.
- Assist with other duties as directed.
MINIMUM QUALIFICATIONS REQUIRED
- Associate/bachelor’s degree in related field preferred
- 3 years of related work experience.
- Knowledge of Purchasing/Accounts Payables
- Ability to interpret a variety of instructions in written and oral form.
- Use of logic and reasoning to identify strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
- Solid understanding and experience with Microsoft Office (Word, Excel, Outlook)
- Manage multiple projects/tasks concurrently to meet various deadlines without loss of efficiency or accuracy
- Ability to occasionally lift 25 lbs.
- Ability to function independently and as part of a team
